The Design Process & Milestones
The most valuable first step is to define your vision and budget. Beyond that, the necessary starting materials depend on your project type: for large-scale renovations, gathering existing as-built drawings is key; and for custom homes on a new lot, having an up-to-date site survey is essential to accurately begin the architectural design process
Our architectural stages are structured to support your financing needs. We proceed through Conceptual Design, Design Development, and finally Issued for Tender/Construction Drawings. Lenders/banks typically require a finalized design scope and the full Construction Drawing set to approve final project financing. Critically, builders often require the complete, finalized Issued for Tender documents to provide true, accurate, and fixed pricing for your custom home project.
Schematic Design establishes the basic spatial relationships and massing. Design Development refines the design, defining materials, systems, and sizes. Construction Drawings ( DP, IFT & IFC) are the detailed, permit-ready technical documents used by your builder to obtain bids and construct the home. We ensure our architectural drawings are comprehensive for both permitting and construction.
Our commitment is to achieving your dream home. We structure our proposal to allow design iterations within the Concept Design and Design Development phases to ensure satisfaction. Once you approval your home, our goal is then to work collaboratively to finalize the architectural plan efficiently, as well as, apply for and obtain all required permits.
The timeline varies based on the project’s scale and complexity, but for an average custom home design, the process typically takes 4 to 8 months. This includes Conceptual Design (6-8 weeks), Design Development (8-10 weeks), and finalizing the Construction Drawings and managing consultant inputs. The timeline is also influenced significantly by how quickly clients provide feedback and make final design decisions at each stage of the procedure.
Investment & Agreements
We primarily utilize a Fixed Fee structure, based on the specific Scope of Work outlined in our Design Proposal. This provides our clients with cost certainty. For highly complex or large-scale estate projects, a fee may based on a Percentage of Estimated Construction Cost may be proposed to reflect the necessary level of detail and complexity.
Our core architectural fee covers our design services and the production of the complete set of Construction Drawings. It does not include the costs for mandatory third-party professionals, such as Structural Engineers, Geotechnical Consultants, or Energy Modeling specialists.
We coordinate with all required third-party consultants on your behalf to ensure their work is fully integrated. We will often pay their fees upfront and then invoice you for direct reimbursement, adding no further administrative fee. This ensures total transparency in the overall design investment while keeping your project moving efficiently.
Fees are structured in phased installments that correspond to the completion of major design milestones: a Retainer upon signing the Design Agreement, followed by deposit to commence work after you approved your home, including Development Permit submission, as well as, Construction Drawings development, and Final Release. This aligns the payment schedule with the project’s progress.
Our Design Agreement outlines clear terms for project termination or suspension. You would be responsible for fees associated with the work completed up to the date of notice. We believe in transparency and encourage clients to communicate any changes early to minimize disruption to the design and submission timeline.
Site & Location Logistics
Yes, we excel at designing on challenging and complex sites. Our process begins with a thorough Site Assessment to understand all constraints, including topography, views, sun exposure, and municipal requirements. This ensures the resulting custom home design is perfectly adapted to your specific lot location.
Absolutely. Handling zoning regulations and permitting requirements is a core service. We conduct a preliminary zoning analysis to identify critical factors like maximum size , height restrictions, and required setbacks, which heavily influence the initial architectural design.
A current site survey is essential and must be provided before starting Design Development. For certain sites, a geotechnical report (soil analysis) is crucial for the Structural Engineer and may be required early on, depending on the site’s complexity or local regulations.
We successfully manage and deliver our architectural design services to clients across Canada and the USA. Our remote collaboration process relies on a combination of technology and clear protocols. We use advanced 3D modeling software (Revit and Enscape) to conduct highly realistic virtual walkthroughs and presentations, allowing you to experience the design as if you were standing in the space. We guide you through the initial site data collection, utilizing local surveyors, high-resolution satellite imagery, and municipal resources to gather all necessary information without the need for constant travel. We maintain a formal meeting schedule via video conference for milestone reviews and use shared digital platforms for file exchange and tracking project decisions.
Yes, offering a feasibility study or pre-purchase lot analysis is a service we provide. This preliminary review helps potential clients understand a property’s maximum buildable potential, potential design challenges, and rough cost implications based on the zoning and site conditions, ensuring a sound investment.
Collaboration & Project Team
We strongly recommend engaging a builder early in the Design Development phase. This practice allows the builder to provide crucial constructability feedback, detailed costing, and value engineering input throughout the design process, leading to a more efficient and on-budget construction.
We are happy to collaborate with any interior designer you choose, provided they have the necessary residential design experience. While we have a network of trusted professionals, a successful collaboration is our priority, and we’ll integrate their work seamlessly into our architectural plans.
We maintain transparent and organized communication. Our primary protocol involves scheduled design meetings (virtual and/or in-person) at key milestones, supplemented by email for detailed documentation and clear tracking of decisions. We also utilize digital platforms to share 3D models and drawing sets.
Budget control is a collaborative effort. We initiate the process with a clear budget goal. During Design Development, we recommend involving a builder for preliminary pricing updates.
Your involvement is essential! We consider the project a collaboration. We expect timely feedback and clear decision-making at the conclusion of each design stage. Your input on lifestyle, aesthetic preferences, and budget is the foundation for a successful and personal custom home.
Builders & Developers
Project Efficiency & Timelines
For a standard single-family custom home, the transition from approved Design Development to the final IFC/CD package typically takes 4-6 weeks. This timeline is contingent on the prompt input from third-party consultants (e.g., structural, mechanical), which we actively coordinate to ensure an efficient procedure.
Our commitment to quality control is our key differentiator. Our IFC drawing sets are developed in Revit and are highly detailed and fully coordinated with all consultant drawings to minimize conflicts. We provide extensive detailing and specifications to reduce ambiguities, which translates directly to fewer on-site calls and less construction downtime.
We prioritize on-site support for our builder partners. We commit to a maximum 24-hour response time for critical design clarifications via email or phone. Urgent site visits are typically scheduled within 48 hours to ensure your build schedule remains on track and avoids costly delays.
As a custom residential design firm, we specialize in creating unique design drawings that are specific to a client’s vision and the unique characteristics of a given lot location. We do not work from stock plans or plans developed by other design firms.
However, if you wish to reuse a plan that we initially developed with you, we can certainly explore granting a re-use license. In this case, we would efficiently modify the existing production drawings to address the new site constraints—including setbacks, grade changes, and municipal variances—treating it as an expedited Design Development phase to ensure full regulatory compliance for the new site.
Multi-Family & Developer Focus
We have extensive experience delivering successful multi-family and infill development projects. Our focus is on strategic massing and unit layout to maximize the permitted density and yield while delivering designs that are both buildable and attractive to the end consumer.
We have a deep understanding of local zoning by-laws and a proven track record of securing complex Development Permits. We actively manage the municipal submission process, attend required review meetings, and professionally negotiate design changes to achieve permit approval efficiently.
We recommend engaging us before land acquisition is finalized. A preliminary feasibility study by our team can quickly assess maximum buildable area, unit yield, and potential zoning risks, allowing you to make an informed decision that verifies the pro forma viability of the site.
Collaboration & Contractual Items
We prefer to establish a Fixed Fee based on a clearly defined Scope of Work for developer projects. This provides budget certainty for your pro forma. Any out-of-scope services or significant client-driven changes are billed based on an agreed-upon hourly rate.
We retain and coordinate the necessary consultants (Structural, Geotechnical, etc.) and integrate their work into our Drawings. We then invoice you for the reimbursement of these third-party fees, with no administrative mark-up, to maintain efficiency and transparency.
We proactively address all municipal comments and manage the re-submission procedure. Changes mandated by the city for permit approval are typically covered under the original fee. Client-driven changes during this stage that require extensive redrawing are handled as an amendment to the scope of work.
Technology & Deliverables
Yes. Our construction sets are produced as standard, large-format PDF documents with clear, layered drawing organization. We follow industry best practices for drafting standards to ensure every sub-trade (framing, mechanical, electrical) can quickly interpret the required scope of work.
We provide the final Construction Drawings in a print-ready PDF format and can provide the source Revit or DWG files upon request, subject to a signed release and licensing agreement.

Scope of Service & Location
Yes. We successfully deliver our architectural design services across Canada and the USA, and we are open to working with international clients. Our Construction Drawings are highly detailed and complete for construction. However, they may need to be stamped and certified by a locally licensed Architect of Record or engineer in your specific jurisdiction for permit approval. We collaborate closely with your local design professional to ensure a smooth handoff and certification process.
We are experts in understanding and applying the local building codes and zoning by-laws applicable to your specific project location. We ensure all our designs adhere to your region’s mandatory technical requirements, including energy codes and structural standards.
Yes. We offer services remotely via scheduled video calls, detailed site photos/videos from the builder, and prompt responses to RFIs. For critical milestones, we can arrange site visits, which would be factored into the project fee or billed separately.
Remote Collaboration & Process
No. We utilize cutting-edge 3D modeling (Revit/Enscape) and high-quality video conferencing to conduct all design reviews, presentations, and team meetings. We find that the vast majority of projects can be completed through a streamlined remote procedure, minimizing the need for travel.
While we do not officially recommend contractors outside our established local network, we can provide you with guidance on the best procedure for vetting and selecting a builder, including questions to ask and the importance of engaging them early for preliminary pricing and budget control.
We create comprehensive 3D models of your project. Using Enscape, we provide high-fidelity renderings and detailed virtual walkthroughs during design presentations, allowing you to experience the size, light, and flow of your custom home design before construction begins.
Documentation & Deliverables
The most critical document is an up-to-date, certified topographical site survey. This document provides the essential information on boundaries, setbacks, easements, and grade changes necessary for us to accurately place and design the building on your lot location.
Our Construction set includes fully detailed architectural plans, elevations, sections, schedules, and specifications. It is designed to be a comprehensive, coordinated package ready for permit submission and construction pricing.
We prepare and compile the entire permit submission package. However, the final submission and direct communication with your local municipal planning department are typically handled by you or your local builder to streamline the process within your jurisdiction.
We provide the final Construction Drawings in a print-ready PDF format. We can provide the source Revit or DWG files upon request, subject to a signed release and licensing agreement.
Investment & Agreements
Our core architectural design fee is based on the complexity and scope of work, not primarily on location. However, any necessary travel expenses (if requested) for site visits or specialized consultants required for your specific location would be itemized and added transparently to the project cost.
All fees are clearly outlined in the proposal and are generally paid via international wire transfer in the currency agreed upon in the contract, ensuring transparency and legal clarity for the design investment.
